We have carefully devised our terms and conditions to assist you with the service we are providing.
Prom and Wedding Car Hire offer vehicles and services under these terms and conditions. From hereinafter, Prom and Wedding Car Hire is referred to as “We”, and “Our”, and client/customer is referred to as “You”, and “Hirer”.
Paying the necessary deposit to confirm your booking will be considered as your agreement to these terms and conditions of our car hire services and acceptance to abide by them without any exception whatsoever.
Your booking details include a date and time with a vehicle and chauffeur.
It may include multiple vehicles and chauffeurs.
You will be required to submit a deposit of £50 per vehicle to secure your booking.
Accepted payment mode includes but not limited to most major credit or debit cards via our online payment system provided by PayPal.
Other types of payment will only be accepted in sterling.
The outstanding balance is to be fully paid no later than 6 weeks prior to the wedding date.
In case of failure to make full payment 28 days prior to the wedding date, we reserve the right to cancel the booking and offer the date for general release in which case deposit will not be refunded.
The booking value is the decided amount as soon as arrangements have been made.
This includes planning the routes and journey times, providing the vehicle and chauffeur and taking care of any additional requirements that you may have requested. Slight changes to a booking can be made at any time up to 7 days prior to the wedding date. The slight changes may account for ribbon colour, flowers, drink requirements and will not require you to pay any additional amount.
Any major changes to booking such as wedding date, wedding time, wedding venue, collection points etc. must be notified as soon as possible; however, we take no liability for not catering any such major changes to the booking.
In case, we failed to adjust your booking providing you made a booking at least 8 weeks prior to the wedding date, you will be allowed to cancel the booking; however, the deposit will not be refunded.
We reserve the right to charge additional cost at our sole discretion where we consider necessary without exceptions for any agreed change.
Cancellations must be made in writing or by email. Refund of already paid deposit amount will be subject to 50% administration charges, only if we receive a written notice for cancellation 15 weeks prior to date of wedding. If cancelled anytime less than 15 weeks from the wedding date, you will be liable to pay full amount agreed for hire. If a successful booking date is possible to substitute the cancellation, you will be liable to pay 30 percent of the amount agreed for hire in lieu of handling charges.
We reserve the right to decline entry into our vehicle(s) to any individual who is or seems to be intoxicated by alcohol or any other substance that may cause unacceptable behaviour at our sole discretion.
We reserve the right to withdraw and terminate booking at any point at our sole discretion provided any unpleasant, abusive or threatening attitude towards our chauffeur and/or our vehicle by you or ANY other individual related to you or your guests and will accept no liability whatsoever.
No claim or compensation will be accepted in this regard and our decision will be considered final.
We include Champagne as a “gift” and reserve the right to provide our “gift” entirely at our discretion. We also reserve the right to substitute Champagne for white sparkling wine, such as Prosecco or similar white sparkling wine. Any quote, statement or other references to “Champagne” do not form any part of any booking and is provided as a “gift” and therefore excluded entirely from our contract.
All prices published on our web site are only applicable to the current year and not guaranteed for later years. Please use our online quote form to check availability and price.
Prom and Wedding Car Hire will make every effort to make sure no loss or damage occurs to your personal belongings.
However, it will be solely your accountability to make sure that all personal belongings are taken out of our vehicle(s) before the car(s) leave.
Once left, the car and/or chauffeur will not return with any items left behind in the car(s).
Any lost and found items in our vehicles are kept for 28 days and will be the responsibility of the hirer to collect such item(s).
Valuables should not be left in the vehicle(s) at any time during the hire period.
We accept no liability whatsoever for any loss and/or damages to any kind of personal items or clothing.
Seating and Seat Belts
Whenever seat belts are fitted it is your legal responsibility to use them.
Should passengers decline to use the seat belts then Prom and Wedding Car Hire accept no liability for any consequences whatsoever including personal injury.
Young children are only accommodated when a suitable safety seat is provided and fitted by a parent or guardian.
All passengers must stay in their seats throughout the travel and we accept no liability for any injury occurred otherwise.
Our vehicles will not transport more passengers at one time than the limit specified by the manufacturer.
Under no circumstances whatsoever a person will be allowed to travel on another person’s lap.
No animals are allowed in the vehicles, and only exception will be made for guide dogs that requires prior approval at the time of booking.
Because child seats have to conform to the specific age and size of a child and require expert knowledge in fitting them WE DO NOT PROVIDE CHILD SEATS. You are very welcome to provide your own seat(s) and fit them into our vehicle on the understanding that we accept no liability whatsoever for the suitability or safety of such seat(s) or any child using them.
You would be liable to make sure that there is sufficient area to access, reverse, and exit for the vehicle(s) at all collection and drop-off points to be attended.
At any point, it will be at the chauffeur’s sole discretion to deny entry if he/she feels that the area is restricted in any way; then the chauffeur will make a stop at the nearby allowed safe point irrespective of remaining distance to the collection/pick-up point.
At any point, it will be at the chauffeur’s sole discretion to deny going further on any surface that he/she feels might cause damage the vehicle. In case there is not a proper road or rough road surface, you will be liable to inform us at the time of booking to avoid any inconvenience at the later stage.
Although we make every effort possible maintain our cars in the excellent and reliable condition we accept n liability for unforeseen events. If the selected car that you have reserved breakdown because of an unexpected technical fault which is not possible to repair until the booking time, another vehicle will be dispatched as a substitute.
No cost will be charged in case the substitute vehicle’s value is more than the booked vehicle and any additional difference will be refunded given the substitute vehicle’s value is less than the booked vehicle.
It will be at your sole discretion to accept the substitute vehicle and a confirmation will be required before we dispatch the substitute vehicle. In case of non-acceptance we will accept no liability other than a full refund.
In the event of breakdown whilst en-route to any address, we reserve the right to arrange alternative transport to the best of our ability and availability from any local provider. The hirer hereby agrees that any compensation for en-route breakdown will be limited to the full value of the booking and no further liability will be accepted.
Whilst we allow plenty of time to arrive on time and make every effort in planning the most suitable routes for the occasion we accept no liability for circumstances outside our control.
Roadworks can sometimes just appear, local events, accidents, road closures and also the unpredictable UK weather can affect the total travelling duration.
You deposit payment will be considered your acceptance to the possibility of any delays during the journey which are caused because of circumstances beyond our control and deemed at unexpected situations and well accept no liability whatsoever in such regard.
Inclement and Extreme Weather
Safety will always be observed and no compromise will be made whatsoever.
Although we make every effort possible to maintain our duties and make sure you face no hassle on your special day, we will accept no liability for unpredictable UK weather. In case of severe weather conditions, it will be at our sole discretion to decide if it is safe to allow our chauffeurs drive and take our vehicles on road.
Should we sense that it is hazardous to operate under weather conditions at that time, we will immediately notify you and will accept no liability other than a full refund.
If you have planned your wedding in winter season, it is recommended to arrange for backup transport in case inclement weather is forecasted and we reserve the right to provide a suitable and capable vehicle (4 x 4) according to the weather conditions. The substitution will not affect the cost of hire and no refund will be provided.
Damage to Vehicles
Your deposit payment will be considered as your agreement to accept the liability for any damage or theft occurred to our vehicle(s) because of any individual in your party or your guest attempts, commits, or incites others to do so and you will be held accountable and liable to pay for all costs incurred from such actions. Damages to both the exterior and interior of vehicles will be your liability.
You will be liable to pay for the total repair cost, cost of lost bookings during the repairing phase, and any other losses and/or incurred costs.
Your booked vehicle(s) will be fully prepared to arrive in a fresh and tidy state for your special occasion. The car will be decorated with Bows and Ribbons in your choice of colour. However, we reserve the right to dress the car in neutral colours should for any reason we cannot provide or match your requested colour(s). If a person gets sick in the car, you will be liable to pay for the cleaning charges. If any of the complementary items sent along with the car or any other material or substance is used in a manner that causes damage to the vehicle or demands excessive cleaning, you will be liable to pay for all the incurred costs including restoring the car to its original state, cost of lost bookings during the restoring phase, and any other losses and/or incurred costs.
It will be your responsibility to make sure that no silly string are used in or around the vehicle(s).
Complimentary Gifts, Sparkling Wine, Champagne and the use of the “Bubble Machine” fitted to our 4 door Beauford are solely for the Bride & Groom and are offered as a goodwill without any additional charge and may be withdrawn at any time without notice or reason. Their mandatory usage and accessibility do not form any section of our car hire contract. It will be at our sole discretion to provide any complimentary item offered as a gift and covers only the Bride and Groom.
Limitation of Liability
Prom and Wedding Car Hire will accept no liability whatsoever for any interruptions or cancellations of events, weddings, or receptions, delayed or missed appointments, traffic congestion, inclement weather conditions, wrongly guided timings, insufficient/incorrect address informations, hotel incompetence or any other situations outside our control. We reserve the right to provide a substitute vehicle should the original “booked” vehicle develop a fault or sustained damage that cannot be repaired in good time to complete the vehicles commitment(s). Although we take great care of our vehicles and have them serviced on a regular basis, we accept no liability for any unforeseen problems that may cause the vehicle to breakdown or malfunction prior to the hire period, on route to the wedding, collection address(es) or during the hire period. Any claim for compensation will be strictly limited to the cost of the hire only and we accept no liability for any other costs or expenses.
Terms and Conditions
Our terms and conditions are carefully devised for our mutual safety. We reserve the right to make any changes to these terms and conditions at any time. Any bookings confirmed prior to the changes will be notified of any changes.
